What Personal Information Do We Collect?

We only collect Personal, Health, Credit, Sensitive and Employee Information that is reasonably necessary for us to provide you with the services you have requested.

This may include:

(collectively referred herein as Personal Information).

We may also be required to collect confidential and sensitive organisational information such as company financials, meeting minutes, recruitment records, policies and procedures, contracts, investigation reports and other such business information that may be deemed sensitive and/or confidential (Company Information).

How is your Personal Information Collected?

From You

We will, if reasonable and practicable to do so, collect your Personal Information directly from you.

This may take place face-to-face, by giving us access to your systems, through the completion of documents such as administrative forms or electronic forms, by way of emails, telephone calls, surveys, through the websites, or through the use of apps on mobile devices.

From Third Parties

In certain circumstances we may collect Personal Information:

  • From you about another individual; or

  • About you, from another individual (e.g. credit reporting agencies).

When collecting Personal Information about you from another individual or organisation, we will endeavour to only collect and hold that information if it was lawfully collected, and when the collector’s disclosure of that information to Honestally is integral to one of Honestally’s functions.

Where possible, we will endeavour to obtain your consent to collect your Personal Information, where it is disclosed to us by another individual or organisation

From Publicly Available Sources

We also collect Personal Information and Company Information from publicly available websites, directories and databases including, but not limited to Google, Twitter and other social media.

Where are your records stored?

Client information is stored with our authorised vendors.

Primarily (but not limited to):

  • Google Workspace (for primary data storage, corporate email and other productivity tools)

  • Zoho One (for client relationship management [CRM], jobs, projects, support tickets, productivity and limited / secondary data storage)

The storage of Personal Information through these providers is subject to the Privacy Policies of these entities.

Do you have to provide us with Personal Information?

The collection of this Personal Information is required to enable us to provide the services to you. Individuals and organisations do not have to supply Honestally with their Personal Information or Company Information, however, if the individual or organisation chooses not to do so, Honestally may be unable to provide the services required or sought.

In some cases, you may prefer to give us either temporary or permanent access to your systems so that we may access but not store or collect the required information.

Please discuss with us any concerns or special requirements and we will be happy to try and find a way to make it work for both of us.

What about your Employee's Personal Information?

The handling of your employee records by a private sector employer is exempt from the Privacy Act if it is directly related to your current or former employment relationship.

Importantly, this exemption does not extended to contractors. Therefore, notwithstanding our contractual and/or legal obligations we will have to comply with the Australian Privacy Principles when handling your employee or volunteer data.

What do we need from you?

As part of our work with you, we may collect from you or you may provide to us, personal information as defined under Australian Privacy Laws. While we always ensure that any personal information we receive is dealt with in accordance with the Privacy Laws and our Privacy Policy, we rely on you to ensure that any personal information you provide to us (whether about you or another person) is collected and disclosed to us in accordance with the Privacy Laws.

How long do we store your Personal Information?

We retain information you provide to us and which we collect about you, including Personal Information and Personal Data, for so long as we continue to provide services to you and specifically until such time as you request us to delete your Personal Information and Personal Data.

Please contact us immediately if you become aware or have reason to believe there has been any unauthorised use of your Personal Information.
